On behalf of our client, we are looking for an immediately available EA to support one of the Co Founders for a well-established investment firm, based in St James but with offices worldwide. This is a 12month maternity cover, providing both business and personal support. A varied, fast-paced role that is demanding yet rewarding. Office based but you can WFH when the Principal. 

Key Duties for the EA 

  • Manage and update the Principal's calendar across multiple time zones; schedule meetings and ensure briefing materials / relevant information are circulated in advance. 
  • Proactively manage the Principal's inbox: monitor incoming/outgoing correspondence, flag priority items, draft responses, and action meeting requests. 
  • Coordinate with Investor Relations on investor meetings, conferences, and roadshows; prepare/update PowerPoint presentations for his investor and speaking events. 
  • Track notes and follow-up actions from investor meetings in CRM (DealCloud). 
  • Ensure external board commitments and responsibilities are fulfilled. 
  • Arrange and manage complex domestic and international business travel (multi-leg itineraries, visas, accommodation, logistics) across multiple time zones, ensuring seamless coordination with his meeting schedules and commitments
  • Prepare and process business expenses.  
  • Arrange and manage the family’s domestic and international travel when requested. 
  • Track and settle family invoices (subscriptions, wine, vendors, home bills). 
  • Renew the household, car, artwork/painting, and other insurance policies. 
  • Liaise with household staff and external service providers when requested. 
  • Schedule and manage the family’s medical appointments, track prescriptions/renewals, and handle healthcare insurance claims/paperwork. 
  • Open the family post; organise and file hard copies 
  • Plan and coordinate logistics for family events and special occasions. 
  • Handle errands for the family such as gift purchases, shopping, and reservations. 
  • Manage confidential personal and family matters with discretion.

  • Well presented and spoken 
  • Educated to degree level or equivalent 
  • Immediately available 
  • Excellent grammar and spelling  
  • Good listening and communication skills 
  • Detail-oriented and accurate 
  • Computer literate – good knowledge of Microsoft suite of products 
  • Uses initiative and works well under pressure. 
  • Excellent organisational skills and the ability to handle multiple tasks simultaneously. 
  • Exercises discretion with all professional and personal information
  • Excellent team player 
  • Ability to work without close supervision.
