A great opportunity has arisen for an entry level candidate who is looking to work in an administrative and support role for a boutique family office. It is an opportunity to work in a multi-faceted office environment. You will gain experience in a wide range of areas from being the first point of contact in the building and an ambassador for the office in general, to learning and developing an administrative skillset from 3 senior PAs, who work for very different bosses with a range of needs. 5 Days office based.
Key duties for the Office Assistant
- Being the first point of contact for visitors to the office, escorting and directing them to the correct location.
- Co-ordinating meetings being held at the office and correctly prepare the meeting room/offices for all appointments that take place there.
- Answering the telephone promptly, in a professional manner dealing with queries and providing information to callers as required.
- Efficiently passing on messages to the appropriate person ensuring lines of communication are open at all times.
- Ensuring the office is fully stocked with all supplies, such as stationery, food and drink and other items used within the office.
- Booking taxis and couriers.
- Keeping office files, contact lists and other records updated in order to maintain an organised office.
- Organising the repair and maintenance of all office equipment, furnishings and fittings as necessary.
- Sorting and distribute the incoming post promptly and efficiently and to ensure outgoing post is ready and mailed on time.
- Printing out of large attachments / emails / dropbox files.
- Carrying out any other duties and requests as required to support the business
The ideal Office Assistant
- Previous experience in some aspect of service/customer-facing environment
- Good written and spoken communication skills
- Excellent customer service skills
- Ability to work on own initiative

- Good knowledge of Microsoft office
