1-2 days WFH (dependent on Principal's schedule)
On behalf of our client who operate in the professional services sector, with offices across the UK and employ 1000+, they are looking to recruit an EA who will provide high quality business and operational support to the Chief Executive, and will manage complex schedules and key documentation with professionalism and discretion - enabling the CEO to optimise their time in the most effective manner. You will be based in London and will travel to Birmingham once a week. They offer hybrid working too.
Key Duties for the EA
- Provide full executive support to the CEO including diary management, travel coordination, meeting scheduling and follow-up actions
- Manage a complex and evolving diary, ensuring priorities are aligned and time is optimised
- Serve as a primary point of contact for senior internal stakeholders
- Build strong working relationships across departments to enable effective information flow and decision making
- Coordinate and attend key meetings, including agenda development, minute taking and tracking of strategic action items
- Support delivery of operational initiatives as required
- Email management and gatekeeping – organisation, filtering and prioritisation, and follow up scheduling etc
- Prepare and manage email communications on behalf of the CEO with accuracy and a high degree of confidentiality
- Arrange for briefings ahead of meetings
- Coordinate travel arrangements and itineraries, and manage expenses
- Anticipate needs and proactively solve problems to keep initiatives moving forward
- Represent the CEO with professionalism and discretion in all interactions
- Support the CEO and Head of CEO Office - including supporting in person (typically up to 3 or 4 days a week), at a range of internal stakeholder meetings across all offices, as well as occasionally elsewhere across England and Wales.
The Ideal EA
- Proven Executive Assistant - significant experience working in a comparable role supporting executive level leadership in a complex environment
- Resourceful – a high level of initiative, problem solving and decision-making skills
- Planning - excellent organisational and time-management skills with high accuracy and sharp attention to detail
- Communication skills - effective communication skills both written and verbal
- Professional manner – developed interpersonal skills and an ability to establish, develop and maintain effective relationships at all levels both internally and externally
- Integrity - demonstrating high levels of confidentiality, discretion, and composure when dealing with sensitive matters
- Flexibility - including the ability to work flexibly and fulfil the travel requirements of the post
- Resilient - able to work effectively under pressure, in an environment with shifting priorities
- Literacy skills – numeracy and data literate, tech savvy and keen to embrace new tools
- Understanding – a good understanding of - or the ability and willingness to learn quickly – how the organisation and the regulatory environment in which it operates works
