Our client is a well-established, employee-owned global engineering consultancy with offices across the UK, Australia, New Zealand, Malaysia, Vietnam, Dubai and Spain. They are looking to recruit an organised and proactive Administrative Assistant with experience of Xero, to join their busy Salford office on a fixed-term contract.

This is an excellent opportunity for someone who enjoys a varied administrative role and thrives in a fast-paced, collaborative environment. You'll play a key part in supporting the day-to-day operations of the business, ensuring everything runs efficiently while providing excellent support to colleagues and clients.

Key Responsibilities

  • Preparing and generating a range of reports.
  • Processing incoming invoices and preparing outgoing invoices using Xero.
  • Maintaining and updating databases to ensure accuracy and data integrity.
  • Coordinating meetings, including booking rooms, arranging catering and managing schedules.
  • Organising travel and accommodation for staff.
  • Coordinating Continuing Professional Development (CPD) sessions and internal events.
  • Overseeing office equipment maintenance and liaising with external suppliers.
  • Providing first-line IT support, including setting up laptops and workstations and assisting with basic IT queries.
  • Responding to customer enquiries and managing incoming post.
  • Assisting with compliance documentation and certification submissions.
  • Supporting the wider team with general administrative duties as required.

Skills & Experience

  • Previous experience in an office administration or similar administrative role.
  • Experience using Xero accounting software is essential.
  • Excellent organisational skills with the ability to prioritise a varied workload.
  • High level of accuracy and strong attention to detail.
  • Confident using Microsoft Office and Google Workspace.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Professional approach with the ability to handle confidential information discreetly.
