EA To C-Suite - High Growth Travel Arrangement Business

On behalf of our client, we are looking for a first-class Executive Assistant to provide c-suite support to the Group CEO, CFO and General Counsel. This role requires candidates who can operate at pace with low margin for error. A fantastic opportunity for an EA who wants to work for a growth oriented and results driven business. Key Duties for the EA:

  • Managing highly complex and fast-paced diary; making quick decisions on behalf of Group CEO, GC and CFO, including detailed travel arrangements throughout the UK and internationally
  • Strategically scheduling appointments with key internal and external stakeholders, planning for the coming calendar year– annual, quarterly, monthly and weekly meetings
  • Ensure report deadlines and actions, including minutes are met for Executive Team
  • Promptly reviewing and tracking incoming enquiries such as e-mails, calls, invitations and correspondence, and responding directly or drafting correspondence on behalf of the Group CEO, GC and CFO
  • Inbox and file management, including the setting up and maintaining of systems to store important information and data
  • Preparing presentations and reports, including Group report co-ordination
  • Accountable for the electronic library of Op-Co Board reports and Board minutes, ensuring all reports and minutes are filed timely.
  • Proactively manage all legal documentation for Group CEO, GC and CFO signature, ensuring accuracy of documentation and meeting deadlines.

The Ideal EA:

  • Demonstratable and proven work experience as an Executive Assistant to Senior Executives/ Board
  • A self-starter, capable of acting on own initiative and proactively managing competing demands and pressures and able to multi-task effectively
  • To be able to work with versatility and flexibility, meeting unexpected, very tight, deadlines on occasions
  • Highly competent IT skills and knowledge of Microsoft Office applications
  • Attention to detail

  • Honesty, confidentiality & integrity
  • Ability to build strong stakeholder relationships
  • Maintain high professionalism at all times
