A wonderful opportunity has arisen for a high performing, reliable and experienced EA to work for one of our longest standing clients. A prestigious investment firm based in the heart of St James. This role will be providing support to the CEO in a 1:1 capacity on an 18-month maternity contract. The candidate must have experience supporting CEO's and come from a financial services background.
Key Duties for the EA
- Establish yourself as the trusted ‘gatekeeper’ to the CEO
- Diary Management: Detailed management and proactive forward planning of the CEO’s demanding diary, ensuring all responsibilities and commitments are considered and accounted for.
- Action Tracking: Support the CEO by managing their pre and post meeting notes, weekly action list, and reminder document. Assist the CEO by working with their direct reports and the Senior Leadership Team to thoughtfully track ongoing projects and strategic priorities.
- Global Travel: Proactive forward planning and precise booking and coordination of all travel within the UK and abroad. This includes arranging flights, cars, accommodation, restaurants, and creating detailed itineraries.
- Proactively plan the CEO’s priorities in line with the Company’s annual timeline accounting for crucial milestones throughout the year i.e. the Annual and Interim Report & Accounts, Shareholder Roadshows, the Annual General Meeting, the Annual Board Away Day, and all scheduled or ad-hoc Board and Committee meetings
- Management of calls and incoming correspondence, drafting responses where appropriate, and proactively fielding/ escalating to colleagues
- Work with IR & Comms team on CEO’s panels and speaking commitments, including prep of briefing notes and scripts, ensuring CEO has sufficient time to review and give feedback before the event
- Take the lead in organising conferences and events where the CEO is either the host or an
attendee
The Ideal EA
- Proven track record of providing 1-2-1 EA support at a fast paced CEO level within Financial Services
- Driven and passionate about providing first class support as a career EA. Someone who will go above and beyond to ensure the CEO is supported to the highest level
- Confident and enthusiastic yet professional demeanour, with the ability to work under pressure and meet deadlines
- A self-starting attitude, able to work independently within a relatively flat organisational structure
- Proactive and resourceful; well organised and deadline oriented. Ability to anticipate and manage workload for themselves whilst always thinking ahead for the CEO;
- Strong IT/document management skills in all Microsoft packages, particularly Microsoft Word, Adobe and PowerPoint
- Proficient in seamlessly multi-tasking by managing multiple projects and workstreams with competing priorities;
- The highest professional and personal standards including values of collaboration, high performance, efficiency, strong communication, and integrity
