Our client is looking to hire his first PA to manage his personal administration and liifestyle. The Principal is the co-founder of an energy tech and trading company, needing to pull areas of the working week together, managing his personal life, based 3 days at the corporate office and 2 from home, whilst being available to work from St Johns Wood when required. This role requires exceptional organisational skills, flexibility, discretion and a proactive approach. No two days are the same, and the successful candidates will thrive in a fast-paced environment where anticipating needs and delivering outstanding service are essential.
Key Responsibilities:
Executive & Personal Support
- Manage diaries, appointments, and personal schedules.
- Coordinate meetings, commitments, and family priorities.
- Prepare correspondence, briefings, and documentation.
- Handle sensitive personal and family matters with discretion.
- Maintain structured records and confidential filing systems.
- Act as a trusted point of contact, screening communications and managing priorities.
- Anticipate needs and proactively manage competing demands to ensure the smooth running of daily life.
Lifestyle & Household Management
- Coordinate personal appointments, wellness, and healthcare schedules.
- Manage travel arrangements, including itineraries, accommodation, transport, and dining reservations.
- Organise family events, celebrations, and social engagements.
- Oversee household logistics, liaising with domestic staff, contractors, and service providers.
- Coordinate maintenance, deliveries, and household projects.
- Manage personal shopping, gifting, wardrobe support, and special requests.
- Source and procure products and services, ensuring quality and value.
- Manage memberships, subscriptions, and personal accounts.
- Handle lifestyle administration, ensuring all personal matters are managed efficiently and discreetly.
Administrative Support
- Manage confidential records and documentation.
- Process expenses and maintain accurate financial records.
- Assist with budgets and invoice management.
- Maintain databases and filing systems.
- Ensure requests are clearly communicated and executed.
- Support the resolution of scheduling conflicts and prioritisation issues.
- Track actions and follow up to ensure tasks are completed within agreed timelines.
- Liaise with external advisers, suppliers, and service providers on behalf of the principal.
Skills & Experience:
Essential:
- Experience supporting a high-net-worth individual, family, executive, or family office.
- Exceptional organisational and time management skills.
- Strong attention to detail.
- Excellent written and verbal communication.
- High level of discretion and confidentiality.
- Ability to remain calm under pressure and prioritise changing demands.
- Advanced Microsoft Office and digital collaboration skills.
- Full UK driving licence preferred.
- Flexibility to travel when required.
