We are seeking a highly detailed administrative assistant to help support a small, but global operation. The role is remote and the Principal is based between New York, London, Europe and Hong Kong.
Key Duties for the Remote Assistant
- Fielding and replying to requests that come through via email, WhatsApp, and WeChat
- Book and manage highly-detailed, domestic and international travel itineraries, including flights, hotels, cars, and events/dinners in other cities
- Be solution oriented while handling multiple, urgent, ad hoc requests, prioritizing effectively, and executing with speed and accuracy, while working across multiple time zones.
- Provide rapid, thoughtful responses in ambiguous situations, while considering multiple angles, to help logistics stay on track and reach resolution.
- Proactively identify opportunities to improve executive efficiency, streamline logistics, identify possible roadblocks or changes and be prepared to offer solutions.
- Supporting events and wider team coordination
- Ad hoc project support
- Expense reporting, compliance reporting, and other data and information tracking
- Knowledge of Google Suite, Zoom, and Teams
- Managing and maintaining positive relations with all partnering vendors and individuals
- Managing varying degrees of group meetings and events coordination
The Ideal Remote Assistant
- Minimum 3-5 years supporting executives in consulting, management, financial services, or a similar fast-paced environment and/or personal work for families
- Team player: Willing to support the principal in all aspects of both personal and professional life, and the overlap of both worlds.
- An entrepreneurial mindset and the maturity to work independently and manage complex situations and relationships.
- An understanding of a fast-paced, constantly changing environment with competing priorities alongside the ability to anticipate the needs of the principal as the situation evolves.
- Strong execution skills with attention to detail, follow-up, milestone tracking, and organizational skills
- Excellent interpersonal and communication skills: Comfortable speaking with C-Level executives, able to coordinate the flow of information within the organization and to outside parties.
- Proactive with a high degree of professionalism and strong work ethic.
- Strong sense of responsibility, accountability, and integrity.
- Uphold the highest standards of confidentiality, discretion, and professionalism in handling sensitive personal and business information.
- Maintain a 24/7 availability mindset, ensuring continuity of support and responsiveness outside core hours when necessary
- Proficient in Microsoft Office (Word, PowerPoint, and Excel) and Google Suite
- Proficient in other AI driven platforms, or a willingness to learn.
