Executive Assistant - Chelsea

An exciting opportunity has arisen for an exceptional Executive Assistant to join a leading private GP at a fast-growing, high-profile practice in Chelsea. This role offers full involvement in the operational and clinical running of a dynamic and ambitious private medical practice.

You will be a highly organised individual with proven EA/PA experience supporting at senior level, ideally within healthcare or private client environments. Discretion, initiative, and exceptional attention to detail are essential. Hybrid working, 3:2.

 

Key Responsibilities for the Executive Assistant:

  • Complex diary and inbox management
  • Client liaison and relationship management
  • Coordination of specialist referrals and investigations
  • Invoicing, debt management, and supplier relations (using Xero)
  • Management of patient data, laboratory registrations, and results follow-up
  • Medical records administration and document management
  • Inventory control and ordering of medical and office supplies
  • Travel and logistics management
  • Preparation of professional documents and presentations
  • Familiarity with medical AI tools (e.g., Heidi AI) is highly beneficial
  • Personal errands for the Dr – bills, property management, running errands

 

The Ideal Executive Assistant will have:

  • Significant EA/PA experience supporting at senior level
  • Outstanding organisational, communication, and problem-solving skills
  • A discreet, proactive, service-driven attitude with the ability to operate independently
  • Strong IT skills across MS Office (Word, Excel, Outlook) and experience using Xero
  • Medical terminology knowledge (preferred)
  • Ability to commit to a full-time role (5 days per week), with flexibility to assist with urgent tasks outside of hours when needed (within reasonable expectations)
