A boutique asset management firm in the heart of St James is seeking an Executive Assistant and Office Manager to cover a maternity contract (9 to 12months). You will be the office lynchpin and go to person. Supporting the execs with all EA duties and ensuring the smooth running of the office. A fabulous opportunity to work for a world-renowned firm.
Key EA/Office Manager Duties
- First point of contact for all team members and external colleagues/contacts
- PA responsibilities to the CIO and COO
- Providing administrative support across the Investment and Operations Team
- Liaising between teams at the two office locations
- Diary management across the Investment and Operations team.
- Co-ordinating seasonal events and working within budgets
- Arranging staff travel including researching travel times, booking flights/transport, finding accommodation and noting leave dates.
- Assisting with the on-boarding/off-boarding process for any staff and interns joining or leaving the company.
- Liaising with clients on upcoming reporting deadlines and meeting dates; keeping relevant team members informed of timelines and details.
- Updating the staff Intranet.
- Running errands within the building including greeting guests, general upkeep of the meeting room and dealing with IT issues in the comms room.
- Responsible handling of the company credit card
- Overseeing general housekeeping, maintenance and health and safety issues in the office.
- Fire-marshalling and first aid.

- Strong organisational skills, which involve planning ahead and pre-empting to ensure processes run smoothly.
- Maintain open lines of communication with team members and external colleagues/contacts.
- Stay aware of activities and deadlines across the Company.
- Demonstrate strong IT skills across Windows Office (Word, Excel, PowerPoint) and Adobe.
- Maintain a high standard of work.
- Be mindful of Company reputation, expectations and policies.
- Handle sensitive information and matters with discretion.
