A wonderful opportunity has arisen for a Team PA to work for one of our longest standing clients. A prestigious investment firm based in the heart of St James. This role will be providing support to the Investment team. A great company to work for with excellent benefits!  

Key Duties for the Team PA

  • Forward planning and detailed mapping of highly demanding diaries for four executives, to ensure all responsibilities, commitments and project deadlines are achieved.
  • Arranging in person and remote internal and external meetings, including all required AVC for meetings (i.e. conference calls or video calls).
  • Management of incoming correspondence and calls.
  • Logging external meetings/ research onto the CRM system as required.
  • Preparation and review of meeting materials, (may include printing and binding).
  • Formatting Word, Adobe and PowerPoint documents.
  • Meet and greet guests in the office.
  • Arrangement of invoice approvals and expenses.
  • Arranging all business trips within the UK and abroad, including the preparation of detailed itineraries.
  • Booking travel, restaurants, accommodation where necessary.
  • Working closely with the existing Team Assistant, and the Executive Assistants to the CEO & CFO to align meetings with your Executives.
  • Management of all administrative tasks across the team.
  • Ad hoc support as required .

The Ideal Team PA

  • Driven and passionate about providing first class support.
  • Proactive, well organised and deadline oriented.
  • Ability to anticipate and manage workload, for themselves but also thinking ahead for their principle.
  • Strong IT/document management skills in all Microsoft packages, particularly Microsoft Word, Excel and PowerPoint.
  • Solutions orientated individual, demonstrating flexibility and adaptability to a variety of tasks.
  • Excellent planning and organisational skills.
  • Excellent communication skills, both written and verbal.
  • Confident yet calm demeanour, with the ability to work under pressure and meet deadlines.
  • Accurate, with excellent attention to detail.
  • Proven experience supporting multiple stakeholders.
  • Must have previous experience within Financial Services (Banking, Wealth Management, Fund Managers preferred).
