Key Office Manager/ Executive Assistant Duties
- Liaise with building management to ensure the smooth operation of daily activities, addressing facilities-related issues, and managing supplies, orders, and deliveries.
- Assist the COO and Operations Manager with the coordination of project meetings, including room bookings, catering arrangements, couriers, and car bookings.
- Manage calendars and travel arrangements for employees based in Stockholm, Frankfurt, and Brussels, visiting the UK weekly
- Collaborate with the Operations Manager in organising offsites, AGMs, and occasional meetings and events outside the UK.
- Maintain individual and combined firm Outlook calendars, including managing and overseeing meeting enquiries.
- Complete and process expenses, including expense reports, in a timely manner.
- Resolve issues as they arise, from new technology challenges to premises and staffing needs.
- Perform general office secretarial and administrative tasks as required.
